TERMS AND CONDITIONS
A binding contract between a short-term holiday rental will be between Georgeene Eastwood-Taylor at The Properties ‘Sandown’ or ‘Kempton’ (referred to as "us" or "we") and all members of the holiday party (referred to as "you" or "your") and will come into existence when a booking confirmation is issued showing the confirmed holiday dates and the deposit is received. The contract will be subject to the following booking conditions to be complied with. The contract binds you (the lead booker) & all the members of the party who are part of the booking (number of all party members must be given on request to book). It is your responsibility to ensure that all members of your party accept the terms of the contract set out in these terms & conditions. The party leader must be at least 18 years of age at the time of the booking and the Property should not be used for any of purpose than that of a holiday.
Payment Terms
An invoice will be sent electronically as part of booking confirmation to the email address provided. Should you wish a postal copy please request. This includes
- 40% of the rental rate quoted is payable on booking, this is a non-refundable deposit.
- The remaining 60% balance of the rental rate quoted plus a £180 housekeeping bond is payable 6 weeks prior to the stay date. The
NB: £180 housekeeping bond will be returned no later than 1 week after the end of the stay date. Should any damage, breakages or breaking of pet house rules apply at the end of your stay, this will be noted, photographed and discussed with you within 2 days of the end of your stay via email.
Cancellations Terms
We strongly advise that you take out comprehensive travel insurance to cover cancellations. If you choose not to, then you accept responsibility for any loss that you may incur due to your cancellation. Any request to cancel a booking must be made in writing to us (email accepted). You shall remain liable for all the payments due in respect of the reservation, as set out below:
- Cancellation outside of 6 weeks prior to arrival date the 40% deposit will be retained.
- Cancellation outside of 4 weeks 80% of total rental paid will be retained. The remaining 20% rental amount, plus housekeeping bond will be returned to you via BACS, please supply your bank details on cancellation. We will use our reasonable endeavour to re-let the Property in respect of the cancellation period and should we be successful in getting a replacement booking, we will refund the balance amount paid less a 5% booking fee and any difference in price between your original and the replacement booking. Please be aware that we may have to reduce the original rental rate agreed with you at the time of booking in order to encourage a re-booking. If we are able to re-let, we will advise via email of any monies owing.
- Cancellation less than 4 weeks prior to arrival date, the full balance will be retained for loss of business and incurred costs, excluding the housekeeping bond which will be returned to you via BACS, please supply your bank details on cancellation. We will use our reasonable endeavour to re-let the Property in respect of the cancellation period and should we be successful in getting a replacement booking, we will refund the balance amount paid less a 5% booking fee and any difference in price between your original and the replacement booking. Please be aware that we may have to reduce the original rental rate agreed with you at the time of booking in order to encourage a re-booking. If we are able to re-let, we will advise via email of any monies owing.
If your booking is cancelled due to circumstances beyond our control, notification will be given of the cancellation as soon as possible and we will promptly refund all payments made to us for your holiday. Our liability for cancellation will be limited to payments made to us. If our property must close due to government restrictions or your address is put into local/regional lockdown for your holiday dates and you are unable to travel, you will be refunded in full.
Occupancy
The maximum number of guests occupying The Property must not exceed seven (7) persons. By agreement we may accept in addition 1 infant (only up to 18 months) sleeping in travel cot. We will request numbers of adults, children and infants on the booking request, and this will be confirmed on the booking confirmation. We reserve the right to refuse admittance if this condition is not observed as this would be in breach of our insurance policy which is in place to protect the property and the agreed guests staying. Unfortunately, this may also result in an immediate requirement to vacate the premises, and a refund of monies would not be valid. If you wish to invite additional visitors to visit you during your stay, we ask that you please ask us first.
Care of the Property
You will be responsible for The Property and are expected to take all reasonable care of its furniture, fixtures & fittings. It is expected that you will leave them in the same state of repair, and in the same clean and tidy condition at the end of the rental period as at the beginning. We politely ask that you respect the community and try to keep noise levels to a minimum, especially between 11pm and 8am. Smoking is prohibited inside the Property.
Damages and Housekeeping Bond
Bookings of Sandown or Kempton require a returnable housekeeping bond of £180.00. This will be added to your invoice. This amount is fully refundable within 1 week of your departure, providing the Property is left clean and tidy, that there have been no breakages, extra cleaning required, or any additional people have been staying at the Property. If you notice something is missing or damaged in your accommodation, please let us know immediately so that we can take the appropriate action. If there has been any damage or breakages during your stay, we would be grateful if you could report them promptly, especially before check-out. The accommodation will be inspected at the end of the holiday & you may be charged for any loss, damage or extra cleaning costs. These shall be discussed with you with any relevant images/videos and shall be deducted from the Damage Deposit or payment will be required by you. When referring to breakages we do not count such things as crockery & glasses as we expect this general wear and tear, but if you do break a few of these items we would appreciate you letting us know so we have time to obtain replacements for the next guests.
Conditions Regarding Pets
One well behaved dog is welcome at the Property; additional dogs are only accepted by prior agreement in writing to us (email accepted). No other animals, birds etc are permitted to stay. Unfortunately, if we find there is a breach of this condition this may result in an immediate requirement to vacate the premises, and a refund of monies would not be valid. We require that our guests adhere to the following with regards to dogs:
- Never leave any dog unattended in the Property or garden, we are happy for a pet crate to be used.
- Dog/s are not to be allowed on any of the furniture, including beds.
- Please bring all pet bedding required and towels for drying the pet when required.
- Please try to ensure that any pet is clean and dry before allowing inside the Property. We do provide a waterproof mat which can be used in the downstairs hall.
- Please ensure that pets behave in such a manner as not to disrupt the enjoyment of other people staying in the vicinity.
- We insist that you pickup and dispose of all dog mess from the outside of the Property at all times.
If the property requires additional cleaning due to excessive dog hair or if there is evidence the dog/s have been on the furniture, beds etc a £50 fee will be retained from the housekeeping bond to cover the extra cleaning costs.
Electrical Vehicle Charging Policy
EV would include fully chargeable and plug-in hybrid cars, motorbikes, buggies, scooters, mopeds, bicycles, utility vehicles and tracked vehicles. Domestic chargers, commonly known as a 'granny charger' or a ‘trickle charger’ attached to our domestic power source via a 3-pin wall socket (into the house from any vehicle) by any members of the Booking Party or other visitors of the Property is strictly forbidden. Domestic chargers are not suitable for use in the Property and may create a fire hazard. In the event of any issues caused by this misuse this would render our insurance invalid. We retain the right to carry out reasonable inspection, on a without notice basis, to ensure that granny chargers are not in use in the Property. A breach of this policy will constitute a breach of the contract between us, and you would be solely liable for any damage or loss suffered by us as a result of your unauthorised use of domestic chargers. We do not have on-site charging facilities at the Property, and you must make your own arrangements for EV charging. The closest charge point to the Property is Booths Supermarket in Windermere.
Electric Heaters
We do not provide these nor do we permit them to be used in the house as they are deemed a fire risk on our Risk Assessment.
Right of Entry
The Owner will be allowed to enter the accommodation (without letting you know first if this is not practical or possible) if special circumstances or emergencies happen (for example if repairs need to be carried out) or if you break any of these booking conditions. The Owner or its representative is allowed to enter the accommodation to inspect it (including but not limited to where you have complained about the accommodation). If this happens, you will be given reasonable notice first. You agree to allow the Owner or their representative (including workmen) access to the accommodation as required by this clause.
Complaints or Issues
If you should unfortunately have any issue/problem or complaint with the Property, please report this immediately and directly to us to allow so that we reasonably have the opportunity to rectify this for you as quickly as we can. Often, we will have a quick solution but if we are unable to resolve this for you ourselves and require a specialist we can then act on this as soon as we can and keep you fully informed via text/email. Please be aware that if you do not allow us to the opportunity rectify the issue, we will not be held responsible for any compensation/refund etc after the fact.

Force Majeure
In these terms and conditions "Force Majeure" means any circumstances beyond our reasonable control including, without limitation, an Act of God, Fire, Flood, War or Acts of Terrorism. If by reason of Force Majeure the Property is not available at the commencement of the time booked by you or the Property is unsuitable for letting at that time, we shall not be deemed to be in breach of contract but shall refund in full to you all fees, charges and any deposit paid in advance by you. We will not be liable for any other claim for loss or damage by you.
